Allocation grid

The working week, person by person

Every cell is one shift. The colours, strips and padlocks are a single family, explained in the legend above the grid, and they mean the same thing everywhere in the portal.

An ordinary working shift

Set by hand and not yet published. Editable by anybody who can write to the week.

Off, or nothing set

A dashed edge means the cell is empty on purpose. A dash means nothing has been decided yet.

On shift right now

The person has clocked in and the timer is running. The pip is live.

Missed, no clock in

A published shift the person did not start. A red strip on the left, everywhere in the portal.

Debt logged

The miss has been turned into hours owed. The amount is on the cell and on the hours board.

Balanced, settled

The miss was settled from banked credit. Green strip, and the balance figure agrees with the hours board.

Ended without a timer submission

The shift finished but nothing was submitted, so the hours are not yet counted either way.

Permanent shift

From the standing pattern. The gold hatch and the dashed top strip warn you that changing it changes a pattern, not just a week.

Locked by approved leave

A padlock and a blue tint. Only a super admin and the Head of Operations can override it, and both are named on the record.

Published and padlocked

Live on somebody's phone. It can still be corrected with Apply Credit, which pulls the end time back without unpublishing it.

A padlocked cell can still be corrected. Where you are permitted, the padlock carries an Apply Credit action that pulls the end time back without unpublishing the shift.

Loading this week’s rota…
On a phone the week is read one person at a time. Every cell is still editable and carries the same colours, strips and padlocks as the wide grid.
Draft, publish when ready You can publish directly. Deployment asks for your password and code first, because it writes to everybody at once.
